Diversity Affairs Sub-Committee Guidelines

Ground rules for formation of Diversity Sub-Committees

  1. Sub-Committee Chair will be appointed by Executive Board if no member has volunteered for the position.
  2. Members will be asked to serve on no more than two (2) sub-committees
  3. Each sub-committee will have at least two (2) members—preferably three (3) or more
  4. Coordinator of Diversity Affairs will attend all sub-committee meetings

The FHSU Diversity Awareness Committee will establish sub-committees for:

  1. Issues to complex and/or numerous to be handled by the entire board.
  2. A specific charge or completion of an assigned set of tasks
  3. Ongoing, major activities. (Standing Committee)
  4. Short-term activities. (Ad Hoc Committee disbanded after activity completed)

Duties include:

  1. Become active and visible “allies” of Diversity on the FHSU campus and in the Hays community
  2. Recommending policy for approval by entire board
  3. Meeting monthly and record minutes to be sent to Executive Board
  4. Presenting committee report to entire board

Recommended Standing Committees:

  1. Executive and Planning—will consist of CDA and Sub-Committee Chairs.  Will share the Diversity Mission, Goals and names of Committee Members with the FHSU campus community, identify available resources and services to support diversity, evaluate campus and community needs and interest, provide assistance and information to other groups on diversity and related topics, work to strengthen Multicultural Students groups
  2. Programs and Activities—will plan and coordinate major events, create a mechanism for student and community groups to submit details of upcoming events related to diversity topics, establish an information clearinghouse for diversity activities, and develop an Event Cataloging system with a Clearinghouse Manager
  3. Promotions and Public Relations—represent our committee in the community, promote the committee’s service to the community, enhance the committee’s image, coordinate communications with the press, and increase levels of participation among students and faculty at multicultural events and activities
  4. Finance and Fundraising—oversee development of institutionalized budget and a fundraising plan to solicit external funds
  5. Training and Development—seek educational and inspirations ways to challenge stereotypes, enhance sympathetic consciousness of Faculty, Staff and Students to multicultural issues, improve self-awareness and sensitivity on campus and in the community, invite students to share and comments on issues, provide forums to share the Diversity Mission and Goals, and recommend and provide professional development opportunities in the areas of diversity.
  6. Enrollment, Staffing and Retention—work in support of the Admissions Office to increase enrollment of underrepresented students, with service departments and academic search committees to improve minority representation at all levels on campus, with the Kelly Center and Student Affairs to provide forums for emotional support, career counseling, peer mentoring, academic advising, personal safeguards, and conflict advocacy for students and staff of underrepresented classes.
